1. Overview

Heario ("we", "us", "our") is a desktop application for Windows. We take your privacy seriously. This policy explains what data we collect, how we use it, and your rights.

2. Data We Collect

Heario is designed to operate with minimal data collection. We may collect:

  • Audio transcripts — processed locally or via your chosen AI provider (e.g. OpenAI, Anthropic). We do not store transcripts on our servers.
  • Usage analytics — anonymous crash reports and feature usage counts to improve the product. No personally identifiable information is included.
  • Account data — if you purchase a managed plan, we store your email address and subscription status via our payment processor (Stripe).

3. How We Use Your Data

  • To provide and improve the Heario application
  • To process payments and manage your subscription
  • To send transactional emails (receipts, licence keys)
  • To diagnose crashes and bugs

We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Audio & Meeting Data

Heario captures audio via your device's speaker output (loopback). This audio is processed in real time and sent only to the AI provider you configure (OpenAI or Anthropic). We do not record, store, or transmit your audio to Heario's servers. Your meeting content is never seen by us.

5. Third-Party Services

  • Deepgram — speech-to-text transcription
  • OpenAI / Anthropic — AI answer generation (using keys you provide or our managed keys)
  • Stripe — payment processing

Each third party has its own privacy policy and data handling practices.

6. Data Retention

We retain account and billing data for as long as your subscription is active, and for up to 3 years after cancellation for legal and tax purposes. Anonymous analytics data is retained for up to 12 months.

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing jackoreilly10@hotmail.com. We will respond within 30 days.

8. Security

We use industry-standard encryption (TLS 1.2+) for all data in transit. Payment data is handled entirely by Stripe and never touches our servers.

9. Changes

We may update this policy from time to time. We will notify you of significant changes via email or in-app notification. Continued use of Heario after changes constitutes acceptance.
